Student Success Guide: The student worker Success Guide is a tool to help our students become successful, goal-oriented professionals to impact and lead an ever-changing world.

Work-Study Balance Sheet: This must be used for each work-study student worker in your department.  This allows the department and the student to keep track of their current work-study balance.

Student Employee Work Schedule: Students should fill this form out with their supervisor. No student may work during his/her scheduled class times. Undergraduate students may work a maximum of 8 hours per day and no more than 20 hours per week. Graduate students may work a maximum 8 hours per day and no more than 25* hours per week.

Docusign: DocuSign is a software that will allow documents to be created, routed, and signed with an electronic signature. DocuSign meets the industry’s rigorous security certification standards which will make all documents that are signed court-admissible, digitally signed and a tamper-evident Certificate of Completion.

Immigration Reform & Control Act (IRCA) Requirements

The Immigration Reform and Control Act of 1986 requires that within three days of their employment, all new employees must present documents verifying identity and right to accept employment within the United States. 

Background Checks

All offers of employment at Prairie View A&M University are contingent on the clearance of required background checks to include, but not limited to, a criminal history check, employment and education verifications, certification/licensure verification, and employment reference checks as applicable based on the positions qualifications and requirements.

E-Verify

For employment purposes, Prairie View A&M University uses the E-Verify system to ensure all potential employees are verified accurately and efficiently. Federal law requires that all employers verify the identity and employment eligibility of all new employees. E-Verify (How it affects you).

Selective Service Requirement

HB 558, passed by the 76th Legislature requires that males between the age of 18 and 25 show proof of compliance with federal Selective Service law in order to be eligible for employment with the state.

Crime Information and Statistics

The Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act) requires higher education institutions to make public their campus security policies and release to the campus community crime data collected or reported.  In compliance with the Clery Act, Prairie View A&M University is required to distribute this information to all current and prospective employees and students.

The Annual Security Report and Fire Safety Report  contains information about university security rules/procedures and statistics for the previous three years concerning reported crimes that occurred on campus; in certain off-campus buildings or property owned or controlled by Prairie View A&M University; and on public property within, or immediately adjacent to and accessible from the campus.  It also includes information regarding fire safety for student housing and fire statistics.

If I am a veteran, how do I know if I am eligible for veteran’s preference?

You are eligible under Texas Government Code, Section 657657.002 for veteran’s preference if you meet all the following qualifications:

  1. served in:  the army, navy, air force, coast guard, or marine corps of the United States or the United States Public Health Service under 42 U.S.C. Section 201 et seq., as amended or the Texas military forces as defined by Section 437.001 or an auxiliary service of one of those branches of the armed forces; and
  2. were honorable discharged from the military service.
  3. If you meet all these qualifications, you should respond “Yes” to this question on the application.

If I am a surviving spouse or orphan of a veteran, how do I know if I am eligible for veteran’s preference?

A veteran’s surviving spouse who has not remarried or an orphan of a veteran qualifies for a veteran’s preference if the veteran was killed while on active duty. If you meet all these qualifications, you should respond “Yes” to this question on the application.

How do I respond if I do not meet these requirements?

All other applicants should respond “No”.

What does veteran’s preference mean in the Texas A&M University hiring process?

Veteran’s preference means if two applicants are finalists for a position, and equal in all respects, the veteran would be offered the job. If veterans’ preference is granted, the veteran or surviving unmarried spouse/orphan would be required to produce form DD214 or similar document at the point of hire to verify eligibility.

Orientation

New Student Worker Orientation for student workers will begin Fall 2021.

The orientation reviews student employee rights, responsibilities, policies, and procedures. After completion, student workers will be equipped with knowledge regarding privacy and confidentiality, dress code guidelines, employment conditions, university programs, and Workday functions.

New student workers will be required to provide a copy of the completed certification to their hiring department for record keeping.

All new student workers will be required to complete the online orientation beginning January 15, 2020.

Required Training for Student Workers

The State of Texas and the Texas A&M University system mandates that all new employees complete six (6) specific online training modules.

The Office of Human Resources requires that all new employees complete the State Mandated Trainings within the first 30 days of employment.

About the program:

Prairie View A&M University’s objective is to establish and expand Federal Community Service in our local geographical area. The “Family Literacy Program” (formally America Reads/America Counts) is a program promoted by the federal government to use university Federal Work Study (FWS) students as reading and mathematics tutors to help children improve reading and math skills. The goal of this program is to increase primary school children’s reading ability by the third grade and to help them build a strong mathematical foundation.

In Partnership with the Waller Independent School District, Prairie View A&M University employs Work-Study Tutors in local area elementary schools located in Waller County.

Eligibility:

  1. Students who have demonstrated financial need (as reported on the Free Application for Federal Student Aid or Texas Application for Student Financial Aid) and have been awarded Federal Work Study or Texas Work Study.
  2. Students must be enrolled at least half-time (6 semester credit hours) in the Course Program of Study at Prairie View A&M University. If enrollment drops below half-time at the census date, the student will not be eligible to earn work-study from that date forward.
  3. Students must maintain Satisfactory Academic Progress. Students must stay above the minimum 2.0 GPA, Completion Rate, and Excessive Hours in Course Program of Study each semester.
  4. Students must submit to a Criminal Background check by both Prairie View A&M University and the assigned school district.
  5. Students MUST have reliable transportation to and from their assigned school. Prairie View A&M University will not provide Tutors with transportation to and from work.

How do I find a student job?
    Student job postings can be located on the Student Employment website. From the Student Employment home page click on “Panther Jobs”
How do I obtain my UIN?
    You will be contacted by the Student Employment Office to come in on or before your first day of work to complete all required new hire on-boarding tasks and present your I-9 documents. Once these items are complete, you will receive your UIN.
How can I sign up to attend orientation?

Can I have more than one student job at a time?
    No, you may only have one student worker job at a time.
How many hours per week can I work?
  • Undergraduate students may work up to 20 hours per week.
  • Graduate students are allowed to work up to 20 (Teaching) or 25 (Non-Teaching) hours per week.
  • Internship students are allowed to work up to 30 hours per week.
  • The workweek begins at 12:01am Sunday morning, and runs through 11:59pm Saturday.
How do I make a formal complaint?
    All employees and student workers can make a formal complaint using the steps on the Formal Complaint form. Download the form and follow the instructions if you need to make a formal compliant with the Human Resources Office.
Can I be hired as a work study-student without a work-study award?
    No, students have to apply for financial aid and demonstrate financial need to be awarded a work-study award as part of a financial aid package. However, you may obtain employment under the student hourly program.
Because I have been awarded work-study, am I guaranteed work-study employment?
    No, it is your responsibility to find a work-study job, by searching through jobs on the website, then contacting employers and arranging interviews. Receiving work study does not guarantee you will be hired in a work-study job.
What happens if I do not earn my entire work-study award?
    Nothing; you will not be penalized for not earning all of your reward.
What happens if I earn my entire work-study award before the end of an academic period?
    You cannot exceed your award amount. Once you have earned your maximum work-study award amount, you must immediately stop working unless the department has agreed to allow you to continue working as a student hourly assistant.
Can my work-study award carry over from one period to another?
    No, remaining work-study award amounts do not carry over from one academic period to another. The Office of Student Financial Services will re-evaluate each student after every semester.
I am an international student. Can I get a job and work while I’m attending the university?
  • Yes international students may obtain jobs on campus.
    • International students employees may NOT work more than 20 hours per week.
    • In addition to the normal procedures you must also complete Glacier, an online tax summary report.
    • Please visit the International Student Services webpage on the Human Resources website for more information on immigration.
What are the minimum semester hours I am required to be enrolled in as a condition of financial assistance for work study employment?
  • Full time Undergraduate Students receiving work study should be enrolled in 12 Semester Credit Hours. Part time Undergraduate Students receiving work study should be enrolled in 6 Semester Credit Hours.
  • Full time Graduate Students receiving work study should be enrolled in 9 Semester Credit Hours.
  • Part time Graduate Students receiving work study should be enrolled in 6 Semester Credit Hours.
  • During Summer I & II – All students must be enrolled for a minimum of three (3) hours in either session or enrolled for three (3) hours in Summer I and three (3) hours in Summer II to be eligible for summer employment.
