What is Laserfiche? It is an electronic document management system that can save both an image and a text file.
What is electronic document management? It is the conversion of paper documents into electronic images. It prevents lost records, saves storage space, manages records easily, finds documents quickly, makes images centrally available and eliminates the need for file cabinets.
What type of documents goes into Laserfiche? Only administrative and student related documents that follow a retention schedule are to be scanned into Laserfiche.
I have a lot of old files and documents in my office, how do I know what to scan? You will need to determine what will need to be accessed frequently and start there. Then work through the remaining files. Do not scan anything that is coming up for record retention destruction soon. Refer to the Record Retention Schedule and contact the University's Record Retention Officer if you have further questions regarding document retention.
Why is it that when I scan my double-sided document, I only see one side of the document?
You have to make sure that your scanner settings have been setup to do double-sided documents. In the scanner settings make sure that for the "Paper Source" option, that you select "Feeder Duplex".
How do I get rid of blank pages? You have the ability to remove blank pages by selecting "Page Removal" as on of your Image Processing options. Under the Configuration section, click on Image Processing and then select "Page Removal". Make sure that when you do this that you select the option to remove "Images whose file size is less than 3000 bytes.
My documents got scanned into the wrong folder, how do I get them into the correct folder? You would just locate the documents that you want moved and "Cut & Paste" them into the new folder.
I see the thumbnails of the documents I just scanned in but they are not in the order that I want them to be, can I move the pages around? Yes you can. Just select the page(s) you want to move and just drag them to the new location in the document.
My scanner froze in the middle of me scanning documents and now the screen is locked, what do I do and are my documents gone? You can do Ctrl+Alt+Delete and open the "Task Manager". You will look for the "PVAMU - LFTwain - Laserfiche Scanning" application that is running and just select it and do "End Task". This will close the session and you can then go back to your main Laserfiche window and then select to scan again and you will be asked if you want to recover the documents that you were previously working with.
When I saved my documents and went back to the main folder, I didn't see the documents. Did I lose them? No. They are still there. When you go back to the main folder just select the "refresh" option and it will refresh the folder and you will see your documents.
How do I find a certain document without having to search through the entire folder? You can do a search using different criteria (Name, date created, versions, tags, comments, any field, etc).
How do I print documents from Laserfiche? Move your mouse pointer over the toolbar inside the "viewing pane" and do a right-click and select "Customize Toolbar". Go to "Document Viewer" and select "Toolbar". You will see a list of options, just scroll down until you find "Quick Print" and then add it to the left-hand column and then hit "Save". Do a refresh on the viewing pane and then you will see the Quick Print icon.
