General Hiring Information

The Student Employment Office will adhere to the following hiring deadlines in an effort to ensure that students are processed for employment in a timely manner and to allow sufficient time to place the student on the University payroll. The student’s Hiring Proposal and EWR must be approved no later than 5:00 p.m. on the Wednesday prior to the approved hire dateStudent employees may not begin working until the Hiring Proposal and EWR has been approved by SEO and successfully cleared the routing process. To check the status of a package, please contact your department’s administrative assistant.

Once all documents have been properly processed and approved, a Student Employment Hiring Confirmation email will be sent by the Student Employment Office to the prospective student employee and the appropriate department personnel to notify all parties of the next steps required for the hiring process. Additionally, the Guardian system will generate two separate emails which will be sent to the prospective student employee for the completion of their electronic I-9 requirement (These emails will come from DoNotReply@perfectcompliance.com).

Enrollment Requirements

For a student to receive financial assistance, the minimum semester credit hour enrollment requirements must be met. Students are responsible for meeting the minimum enrollment requirements. Receiving financial assistance to which a student is not entitled, or receiving financial assistance and then dropping to below the required number of semester credit hours, may constitute a violation of University policy and state and/or federal law. As a result, the student worker may be required to repay any financial assistance received.

Undergraduate Students
Full Time Student: 12 semester credit hours
Part Time Student: 6 semester credit hours

Graduate Students
Full Time Student: 9 semester credit hours
Part Time Student: 6 semester credit hours

Job Classifications

Before the job search begins, the student should determine what type of position he/she is eligible for in student employment. All student employment positions will be classified as follows:

Federal/Texas Work Study – to apply for jobs listed as Federal Work Study or Texas Work Study, a student must be awarded this type of funding from the Office of Financial Aid. A student may determine if he/she has been awarded work study funds through PV Place.

Student Hourly – any student who has not been awarded work study funds, may apply for any position listed as Student Hourly.

Graduate Work Study – these types of jobs are limited to students who are currently enrolled in a graduate program at Prairie View A&M University. Students accepting Graduate Assistant positions are usually required to work for at least 7 hours per day. Graduate Assistant positions may also be classified as Federal Work Study or Texas Work Study.

Job Search

All students are responsible for securing their own employment. Employment positions will be advertised on the Student Employment web page. Job listings will be posted to PV Talent regularly. Each job listing will contain a detailed job description and the hiring supervisor’s name and phone number, or email address, for contact purposes. Students must contact hiring departments to secure employment and ask questions regarding the position. Students should be prepared to interview with the hiring department. Once a student has found a position of interest, he/she may begin the application process.

Conditions for Employment

All students may only begin working on Mondays (unless it’s a holiday), if Hiring Proposal and EWR are received no later than the previous Wednesday, AND both documents [Hiring Proposal and EWR] have been approved through the Student Employment Office.  No student may begin working until his/her supervisor has verified that the student’s Employee Wage Request (EWR) and Hiring Proposal has been approved. Hiring departments must verify the status of each student’s EWR and Hiring Proposal with the Creator/Initiator of the documents.

All new student employees will be required to undergo a criminal background check. Student employees are required to complete a Confidential Release Form. This form will need to be signed by the prospective student employee and attached to the Hiring Proposal. Departments will be notified if their prospective student employee does not clear the criminal background check.

A&M System Orientation and Trainings

Student employees are required to complete the online State Mandated Trainings within the first 30 days of employment, during their scheduled work hours. All student employees are required to retake the online training courses every two years. Students who have not worked in the previous two (2) consecutive semesters must bring the following documents (typed and printed single-sided) to the Student Employment Office to receive their Universal Identification Number (UIN) to access the online trainings:

  • Copy of the Employee Wage Request (EWR)
  • Employee Personal Data Form
  • Completed I-9 Employment Eligibility Form
  • Acceptable forms of identification (review page 9 of I-9 form)

Some departments may also require students to take the FERPA and/or HIPAA training courses. Students can access the training modules at http://sso.tamu.edu. Student employees may access the training site after they receive their UIN. After training is completed, student employees must print out the Adobe training transcript, which includes their name and UIN to submit to the hiring department supervisor with their EWR.
