Sick Leave Pool FAQ

What is the Sick Leave Pool?
The Sick Leave Pool is a pool of hours that have been donated by employee who have retired from the university or who have terminated their employment and is given to employees who have a serious medical condition and have exhausted all of their available time.

Do I have to exhaust all of my available sick and annual leave before I am considered for the Sick Leave Pool?
Yes the employee has to exhaust all of their vacation, sick and comp time before being eligible to withdrawal time from the Sick Leave Pool.

How many hours do I have to miss before I can request time from the Sick Leave Pool?

The employee must miss 160 hours due to a catastrophic illness for their selves or an immediate family member.

What if I do not have 160 hours of sick, annual or comp time?

The employee will be placed in a Leave Without Pay status until they satisfy the 160 hour criteria.

What forms do I need to complete to apply for the Sick Leave Pool?
The employee will need to complete the Sick Leave Pool Form withdrawal portion, their treating physician will need to complete the Medical Certification Form and the employee will also complete the Sick Leave Pool Acknowledgement Form. Once all forms are received in the Office of Human Resources they will be reviewed by a Sick Leave Pool committee.

How will I find out if I have been approved or denied time from the Sick Leave Pool?

The Office of Human Resources will send a letter to the employee within five days of receipt of the request for the Sick Leave Pool.

How many hours can I receive?
The Sick Leave Pool is approved on a month by month basis depending on the documentation the employee forwards to the Office of Human Resources completed by their Physician. The maximum amount of time an employee can receive from the Sick Leave Pool is 720 hours per illness.

Can I use Sick Leave Pool for my immediate family members?
Yes, the Sick Leave Pool can be used for employees or their immediate family members.

Do I need to supply any documents on a monthly basis to continue to receive time from the Sick Leave Pool?
Yes, the employee will need to supply documentation on a monthly basis to the Office of Human resources by their treating physician.

Will I receive my monthly accruals while on the Sick Leave Pool?

Yes, the employee will continue to receive their accruals on a monthly basis; however the employee can not use those accruals until they return to work.

Can I donate time to the Sick Leave Pool to a specific person?
No, hours can only be donated to the pool not to a specific employee

Do I have to donate time to the Sick Leave Pool to receive it?

Yes/No – yes if you do not have a catastrophic illness or injury. No if you have a catastrophic illness or injury.

Do employees out on Worker’s Comp qualify for time from the Sick Leave Pool?
No, employee’s on Worker’s comp must use their own time, or be placed in a Leave Without Pay status.

Does Pregnancy qualify for the Sick Leave Pool?

No, unless there is a catastrophic Medical condition for the mother.
