How to Prepare Accountable Mail – Return Receipt (Optional)

Departments are responsible for preparing their own accountable mailings prior to sending to the Mail Center for processing. The correct way to attach the bar-coded tracking number is shown below. Notice that the tracking number is slightly left of the center next to the return address in order to allow area to affix postage. The Mail Center is aware that some agencies have return addresses that are quite long and they extend more toward the middle of the envelope. In such cases, please still try to keep the bar-code tracking number as close as possible to the position shown on the sample mail piece.

If the tracking number is positioned too far to the right of the envelope, the postage metering information will be machined over the tracking number, which makes your mail piece unable to be scanned.

The reverse side of the Accountable Mail envelope should be created as shown on the link. The return receipt card should simply be placed in the middle of the envelope flap. The sender must complete the return address according to the samples, which includes your department’s name, address and mail stop information.
